Do you manage multiple accommodation facilities? Do you have a short-term rental agency or do you collaborate with receptionists, co-hosts and other professionals?
With the new feature User Roles & Permissions (Beta) by Host Domination Booking Engine PRO, you can manage access to your WordPress Booking Engine and control what your collaborators can do.
From viewing reservations to managing prices, confirming requests and creating payment links, each role can receive specific permissions.
The result? More control, greater safety and more organized work management.
What is User Roles & Permissions?
User Roles & Permissions is a feature of Host Domination Booking Engine PRO designed to control access to different operations in the reservation system.
Instead of giving each contributor full administrative privileges, you can assign specific permissions based on their WordPress role.
It is particularly useful for:
- 🏠 Property Manager: delegate the operational management of reservations.
- 🏢 Short-term rental agencies: organize work among several collaborators.
- 🛎️ Receptionist: View, confirm, and manage guest requests.
- 🤝 Co-hosts: collaborate in the daily management of the accommodation.
- 👥 Management Team: differentiate access to information and operations.
How to Set Up Roles and Permissions: Step-by-Step Guide
1. Log in to Host Domination Booking Engine PRO
From the WordPress admin panel, open Host Domination Booking Engine PRO and select the User Roles & Permissions (Beta).
The feature is reserved for administrators, who always maintain full access to the Booking Engine.
2. Select WordPress Role
On the menu WordPress Role, choose the role you want to configure.
For example, you can select Editor or a custom role created specifically for your team.
Important: permissions are assigned to the WordPress role and not to the individual account. All users with the same role will then inherit the same permissions.
3. Set up permissions on bookings
In the Bookings You can choose which trades you authorize.
You can only activate the functions necessary for the collaborator’s work.
For example, a receptionist might have permission to view bookings and confirm requests, without being able to change the status of payments.
4. Manage access to calendar and pricing
In the Calendar & Availability Find permission:
View calendars and manage prices
This permission allows you to access calendars and manage prices.
It is especially useful for employees who deal with rates and facility availability.
5. Save permissions
After selecting permissions, click Save permissions.
Permissions are applied to the selected WordPress role, and access checks are also performed server-side.
Practical examples for Property Managers and Agencies
🛎️ Receptionist
A receptionist may have access to reservations, guest contacts, and confirmation of requests, without necessarily being able to manage prices or payments.
🏠 Co-hosts
A co-host can be authorized to view reservations, create manual reservations, and manage guest requests.
💳 Payment Manager
An administrative collaborator can receive permissions to consult economic details, generate payment links and mark reservations as paid.
🏢 Multi-employee agency
An agency can use different WordPress roles to distinguish operational, administrative, and commercial responsibilities.
Note: current permissions are associated with WordPress roles, not individual facilities or calendars. The feature should therefore not be considered a per-property access isolation system.
Compatibility with custom WordPress roles
One of the most interesting aspects is the compatibility with custom roles created through plugins such as User Role Editor.
You can, for example, create a role called booking_manager, assign it to collaborators, and configure their permissions directly from the Booking Engine.
This allows you to organize your team without having to make everyone an administrator of the site.
Security and access management
Permit management is especially important when multiple people work on the same booking system.
With User Roles & Permissions, you can:
- Restrict access to guest data.
- Separate operational authorizations from economic authorizations.
- Avoid assigning unnecessary administrative privileges.
- Manage different roles within the team.
We recommend that you grant only the permissions that you actually need and test how it works by signing in with a trial account associated with the role you configured.
Is User Roles & Permissions available for free?
The functionality User Roles & Permissions is included in Host Domination Booking Engine PRO.
It is currently marked as Beta, so some options and permissions may be expanded or refined with subsequent updates.
Conclusion: A Booking Engine also designed for those who work in a team
Managing an accommodation facility is different from coordinating a team that deals with multiple accommodations.
With User Roles & Permissions, Host Domination Booking Engine PRO offers Property Managers, agencies and managers of short-term rentals a tool to delegate tasks, control access and organize the management of bookings.
